Welcome to Vilaca Racing Ultimate Car & Driver Event,

 

For the first time ever, Vilaca Racing will be hosting the first Ultimate Car and Driver Challenge in 2024. Vilaca Racing has created the most challenging event that will test drivers and their cars to the limit. This event combines some of the biggest and growing motorsport events worldwide into a format that anyone with any car can enter and be competitive and all in a single day!

The 3 combined motorsport events:

  • 400m Drag
  • Time attack
  • GRID

Each of the above element of the event will showcase a fast car, a fast driver and a fast car and driver. To win the class and the overall event it is going to be exceptionally challenging. Drivers will need to maintain their focus throughout the day and also need to look after their vehicles to keep them in perfect condition should they make it to the class and overall shootout. Our rules and regulations are simple and effective, we will cater from standard production out the showroom floor vehicles to fully prepared race cars. All cars will make use of DOT approved road legal tyres. We will run the first portion of the day with qualifying rounds, the final portion of the day will be the class shootouts and an overall top 20 shootout.

For the first Ultimate Car & Driver Event entries will be limited to 100 cars and drivers, the cars and drivers will be split into 3 competitive classes.

The Vilaca Racing Ultimate Car and Driver Challenge is about providing safe, spirited, fun and competitive track time for Novice and Advanced drivers.

1. Vilaca Racing Ultimate Car and Driver Event

1.1. Vilaca Racing Defined

Vilaca Racing is an organization dedicated to arranging and regulating sports car events and exhibitions; encouraging safe and sportsmanlike conduct on public

1.2. Ultimate Car & Driver Challenge defined

Vilaca Racing UDC is a non-wheel-to-wheel competition which allow multiple drivers enter a car in an event which tests their driver skill and durability of equipment in various forms of motorsport disciplines such as 400m drag, Time Attack and GRID.

1.3. Assumption of Risk

Racing is a dangerous sport that can result in serious injury or death. Participation in all aspects of the sport is voluntary. The ultimate responsibility for participant and vehicle safety lies with the participant, vehicle owner, driver, and crew members.

The participant also acknowledges that by participating in the event, the participant may suffer bodily injury or death, or loss or damage to property. The participant further acknowledges that the participant has voluntarily assumed the risk of bodily injury or death, or loss or damage to property or resources and waives any claims for bodily injury or death, or loss or damage to property or resources against but not limited to; Vilaca Racing, its directors, officers, employees and agents, event officials, event sponsors, racetrack operator’s other participants and discharges such persons and entities from responsibility for such losses.

1.4. Participant Conduct

1.4.1. Be at least 18 years old and hold a current valid driver’s license

1.4.2. Complete and sign the required indemnity form/waivers and tech inspection form prior to driving in the event

1.4.3. Follow the rules set forth in this document, along with any rules given before or during the event by the event organizers

1.4.4. Have registered for the event and paid the entry fee

1.4.5. Abide by the drivers dress code

1.4.6. Vilaca Racing code of conduct

1.4.6.1. Any driver/crew shall abide by the rules in their entirety and in the spirit of which they are written. Any attempt to interpret the said rules to gain an unfair advantage will be penalized appropriately by the committee.

1.4.6.2. All persons shall conduct themselves in an orderly manner. Any disorderly conduct or any failure to obey official instructions or any breach of these regulations by entrants, drivers, or their assistants, shall make the entrant concerned liable to a penalty and/or fine. All participants must play within the rules and respect race officials and their decisions.

1.4.6.3. All participants must respect the rights, dignity, and value of their fellow participants regardless of gender, ability, physical appearance, cultural background, or religion. All participants must always encourage and take responsibility for their actions.

1.4.6.4. All participants must ensure their equipment is safe and race worthy, prior to taking part in training, testing or race events. Only approved racewear (e.g.: helmet, gloves, race boots and suit) to be used by the driver, according to the regulations. It is the participants own responsibility to identify and measure his/her own skill level against his/her competitors, and take responsibility for the risks associated with training, testing and or racing. It should be noted that a basic level of competence is required.

1.4.6.5. It is the participant’s responsibility to declare, prior to any participation in training, testing, or racing, of any medical condition or medication required that may be relevant in the event of an emergency.

1.4.6.6. All participants are required to display courtesy and etiquette to other members and participants in training, testing and race events. Any disputes or problems that may arise during an event must be addressed in a respectful manner, to the correct person (official) at the event.

1.4.6.7. The safety of children within the sport is a priority. Knowledge of the code of ethics surrounding care of children in sports will be promoted and encouraged. It is the participant’s own responsibility to ensure the safety of children at training, testing, or racing events.

1.4.6.8. When taking part in any event, it is the responsibility of the driver to take the time to read and fully understand the posted rules, regulations and conditions for said event prior to start time, thus eliminating unnecessary delays at the beginning of the event. Requests for clarification of these rules, regulations, or conditions, should be asked in the drivers meeting held before each event.

1.4.6.9. All participants must have respect for the environment and the surrounding inhabitants. Responsibility must be taken to reduce excessive noise and keep all areas that are used as clean and pollution free as possible.

1.4.6.10. All participants must respect that drugs and alcohol are strictly prohibited at training, testing and races. It is an offence and will not be tolerated. Offenders will be excluded from the event and face further disciplinary action.

1.4.6.11. Any abusive comments on social media (Facebook, Twitter etc.) between teams, competitors, officials, organizers, will be held responsible and liable for their actions.

1.4.6.12. If the offence occurs during an event race, the car and driver concerned may be excluded from the race, or entire event and/or a penalty and/or a fine may be imposed. Failure to report at a specified time shall be a breach of the regulations and may be subject to a penalty and/or a fine.

1.4.6.13. Wild or disorderly driving shall be subject to exclusion.

1.4.6.14. Any proceeding, derogatory action, or interference with or against a race official by entrants, drivers, or their assistants shall result in a ban from the event and/or series

1.4.6.15. Abuse of officials will not be tolerated and offenders will be removed from the event and subject to further legal action.

1.4.7. Any driver who is involved in an incident shall follow the instructions of the safety team without question and will not be allowed to return to competition without the approval of the Vilaca Racing staff.

2. 400m Drags, GRID, Time Attack, Class results and Overall Shootout Winner.

The following descriptions are for the event proceedings and descriptions / details of each of the disciplines that will determine the class results and overall shootout winner of the event.

2.1. Competitor grouping A,B,C.

2.1.1. The entries will be split into 3 groups, A,B and C.

2.1.2. The group you are placed in does not represent the class you have entered into.

2.1.3. Each group will be given the same amount of time to complete their best times in each of the disciplines.

2.1.4. Each group will be classed according to the times set on the day.

2.1.4.1. After 2 rounds of each discipline is completed there will be a “regroup” to ensure that the competitors competing are of a similar pace/speed/times regardless of the class entered.

2.1.4.2. Each group will be announced as to which discipline the group can/should attend. i.e. if group A is on track, group B will be at Grid, group C will be in the pits for recess. The groups will rotate each discipline throughout the day.

2.1.4.3. Grid and Track/drag sessions will run simultaneously throughout the day.

2.1.4.4. Track and drag sessions will alternate throughout the day.

2.1.4.5. It is the competitor’s responsibility to ensure they complete at least 1 session of each of the disciplines in the allocated group they have been assigned.

2.1.4.6. Should a competitor not complete at least 1 of the disciplines they will not be eligible for the event prizes and/or shootout qualification

 2.2. 400m Drag Procedure

2.2.1. Session Length: Each group will have a track session will last for 30 minutes.

2.2.2. Total Sessions: The event will consist of 3 to 4 track sessions throughout the day.

2.2.3. Track Capacity: Up to 30 cars will be allowed to line up, should time permit the competitor may line up for more than 1 run.

2.2.4. Line-Up

2.2.4.1. Vehicles will line up individually at the start line. Each vehicle will have its own dedicated run, with no other vehicles on the track during the run.

2.2.4.2. Staging: Drivers must position their vehicles correctly in the staging area. The engines should be turned off until instructed to start and/or move.

2.2.5. Start

2.2.5.1. Starting Position: Vehicles will start from a complete stationary position at the start line.

2.2.5.2. Starting Signal: The race will begin using either:

2.2.5.2.1. Standard Tree Light System: A drag racing Christmas tree with a sequence of lights (typically three amber lights followed by a green light).

2.2.5.2.2. Manual Signal: A race official will use a visual or auditory signal (such as a flag or horn) to start the race.

2.2.6. Timing

2.2.6.1. Timing Equipment: The race will be timed using an electronic timing system with infrared beams or by means of a fixed transponder.

2.2.6.2. Beam Activation: Timing will commence when the vehicle breaks the first timing beam at the start line. The timer will continue until the vehicle breaks the final timing beam at the finish line.

2.2.6.3. Precision: Times will be recorded to the nearest thousandth of a second to ensure accuracy.

2.2.7. Finish Line

2.2.7.1. Recording Times: The electronic timing system will record the time as soon as the vehicle breaks the final timing beam at the finish line.

2.2.7.2. Verification: Officials will verify that times are accurately recorded by the timing system.

2.2.8. False Starts

2.2.8.1. Definition: A false start occurs if a vehicle moves or leaves the starting line before the official green light or manual signal is given.

2.2.8.2. Detection: The timing system and/or race officials will detect false starts.

2.2.8.3. Consequences: Vehicles that commit a false start will be disqualified for that particular run.

 2.3. GRID (also known as Gymkhana and Autocross) Race Procedure

2.3.1. Line-Up:

2.3.1.1. Vehicles will line up individually at the start line. Each vehicle will have its own designated run on the course.

2.3.1.2. Drivers must ensure their vehicles are correctly positioned in the staging area by instruction of the official. Engines should be off until instructed to start and/or move.

2.3.1.3. Competitors will not be allowed on the course if they are in another allocated group that has been called to the course.

 2.3.2. Start:

2.3.2.1. Starting Position: Vehicles will start from a complete stationary position at the start line.

2.3.2.2. Starting Signal: The race will commence using either:

2.3.2.3. Manual Signal: A race official will use a visual or auditory signal (such as a flag or horn) to indicate the start of the run.

2.3.3. Timing:

2.3.3.1. Timing Equipment: The event will use an electronic timing system with infrared beams or other sensors.

2.3.3.2. Beam Activation: Timing will start when the vehicle breaks the initial timing beam at the start line. The timer will continue until the vehicle breaks the final timing beam at the finish line.

2.3.3.3. Precision: Times will be recorded to the nearest thousandth of a second to ensure accuracy.

2.3.4. Course:

2.3.4.1. Course Layout: The course will be laid out with cones or markers defining the path. Drivers must navigate the course as specified, completing all required elements and turns.

2.3.4.2. Penalties: Time penalties will be applied for hitting cones, or other course infractions. Penalties will be added to the driver’s total time. A penalty of 5 seconds per cone will be imposed.

2.3.5. Finish Line:

2.3.5.1. Recording Times: The electronic timing system will record the time when the vehicle breaks the final timing beam at the finish line.

2.3.5.2. Verification: Officials will review recorded times to ensure accuracy.

2.3.6. False Starts:

2.3.6.1. Definition: A false start occurs if a vehicle moves or leaves the start line before the official signal is given.

2.3.6.2. Detection: False starts will be detected by the timing system and/or race officials.

2.3.6.3. Consequences: Vehicles committing a false start will be disqualified for that run. The run will be considered invalid.

2.3.7. Course Completion:

2.3.7.1. Disqualification: Failure to complete the course correctly will result in disqualification from that run.

 2.4. Time Attack/ Track day Session Structure

2.4.1. Session Length: Each track session will last for 30 minutes.

2.4.2. Total Sessions: The event will consist of 4 to 6 track sessions throughout the day.

2.4.3. Track Capacity: Up to 30 cars will be allowed on the track simultaneously.

 2.4.4. Track Procedure

2.4.4.1. Line-Up: Vehicles will line up in their assigned groups at the pit area before each session.

2.4.4.2. Competitors will not be allowed on circuit if they are in another allocated group that has been called to the circuit.

2.4.4.3. Starting: Vehicles will enter the track based on a rolling start or as directed by track officials. All cars must follow the track’s entry and exit procedures.

2.4.5. Timing and Scoring

2.4.5.1. Timing Equipment: Each session will use electronic timing systems to record lap times.

2.4.5.2. Lap Timing: Times will be recorded as the vehicle crosses the timing sensors at the start/finish line.

2.4.5.3. Session Results: Best lap times for each session will be recorded and used to determine the top drivers for the Shootout.

2.4.6. Penalties and Disqualification

2.4.6.1. Course Infractions: Penalties will be applied for course violations such as hitting cones, going off track, or not following the designated path. Penalties may include time additions or disqualification from that session.

2.4.6.2. Section 8 covers the track rules and further penalties that can be applied

 2.5. Class results – FWD, RWD & 4WD

2.5.1. The class results will be the determined by the following:

2.5.1.1. Each competitor will compete in each of the above-described disciplines, 400m Drags, Time Attack and Grid.

2.5.1.2. Class results will be the total times of the 3 disciplines added together. The shortest amount of time will be the winner.

2.5.1.3. There is no shootout for the class results.

 2.6. Top 20 overall Shootout and cash prize money

2.6.1. Qualification: All competitors will be eligible for the shootout. There are no class shootouts, only an overall top 20.

2.6.1.1. The top 20 drivers overall, based on their best times from the day’s sessions in each of the 3 disciplines, namely, 400m Drags, GRID and Time Attack. The best times of each of these disciplines throughout the day will be added together for a total qualifying time. The top 20 times of the day will advance to the Shootout.

2.6.2. The shootout format will be similar to that of the day with the following changing.

2.6.2.1. The shootout will start with the Timing of the GRID discipline first, in accordance with the rules set out in section 2.3.

2.6.2.2. Once the competitor has completed their grid session, they will advance directly onto the main circuit by means of a direct link to the track for the start of their time attack superlap session in accordance with the rules 2.4 to 2.6.

2.6.2.3. The superlap session will consist of the following session

2.6.2.3.1. 1 warm up lap

2.6.2.3.1.2. 2 timed hot laps

2.6.2.3.1.3. 1 cool down lap

2.6.2.4. Once the superlap session is complete the competitor will line up for the final shootout discipline the 400m drag session in accordance to the rules set out in section 2.2.

2.6.2.5. Once the drag session is completed the competitor is to return to the pits and their shootout session is complete.

2.6.2.6. The shootout will start from qualifier 20 till qualifier number 1

2.3.2.7. The winner of the top 20 shootout will receive R15000.00 cash prize once the results have been verified

3. 2024 Classes

The below list(s) refer to the class restrictions and/or requirements. This does not include the basic inspection of the vehicle that the vehicle will undergo in order to be classed correctly and/or pass inspection

3.1. Classing of FWD, RWD & 4WD

All vehicles must be production road cars, road legal and licensed. All vehicles need to pass the inspection report (see section 9)  

No tube chassis cars, kit cars and open wheel cars will be permitted.

4. ALL CLASSES (FWD, RWD & 4WD/AWD DRIVE TRAIN)

4.1. All Classes

All classes are defined by the following rules

4.1.1. Engine modifications

4.1.1.1. All Naturally Aspirated (N/A) Motors

4.1.1.2. Forced induction (FI) motor combinations

4.1.1.3. Engine Modifications will remain open which includes the following:

4.1.1.3.1. Aftermarket turbo charges may be fitted

4.1.1.3.2. Nitrous Oxide may be fitted only to N/A motors

4.1.1.3.3. Super chargers may be fitted

4.1.2. Tyres

4.1.2.1. Tyre size will have no maximum width

4.1.2.2. Only DOT approved tyres are permitted provided they have the DOT marking on the tyre

4.1.2.3. Semi slick DOT approved tyres that are permitted must be readily available for every competitor to use in a range of sizes.

4.1.2.4. NO slick tyres permitted

4.1.2.5. No special import tyres and/or vehicle specific tyres are allowed.

4.1.2.6. Tyres with low or no tread, cords or steel belts showing or obvious leaks and/or punctures are not allowed

4.1.3. Interior

4.1.3.1. Interior must remain intact with the following allowed

4.1.3.1.1. Partial or full removal of the interior is permitted.

4.1.3.1.2. Vehicle must retain a functioning dashboard.

4.1.3.1.3. All instrumentation to be securely mounted/secured.

4.1.3.1.4. Changing the OEM driver and passenger seat to fit a sport/bucket seat and/or the fitment of approved safety harnesses is allowed

4.1.3.1.5. Modification to the vehicle interior to accommodate the fitment of a roll cage and/or half cage is permitted.

4.1.3.1.6. Items that must be removed from the interior:

4.1.3.1.6.1. Spare wheel

4.1.3.1.6.2. Jack

4.1.3.1.6.3. Tool kit

4.1.3.1.6.4. Loose objects in the car

 4.1.4. Exterior

4.1.4.1. Cosmetic modifications/additional cosmetic spoilers/revised bumper designs are permitted

4.1.4.2. Aggressive aero-enhancing modifications are permitted provided that

4.1.4.2.1. Front splitters / splash guards/ under trays / engine covers – aftermarket products may be used provided they do not extend past the front bumper by more than 100mm.

4.1.4.2.2. Rear diffusers / splash guards / under trays / covers – aftermarket products may be used provided they do not extend past the rear bumper by more than 100mm.

4.1.5. Brake upgrade

4.1.5.1. Minimum of four-wheel brakes required.

4.1.5.2. No limitation on brake upgrades

4.1.6. Suspension

4.1.6.1. No limitation on upgrades provided the following remains unchanged

4.1.6.1.1. OEM geometry

4.1.6.1.2. Sub frame

4.1.6.1.3. Chassis legs

4.1.6.1.4. Mounting points – Upgrading an existing fixture of the OEM body structure to a tubular chassis section (front or rear)

4.1.6.2. The following upgrades are permitted

4.1.6.2.1. Camber arms / plates

4.1.6.2.2. Caster arms/ bushes

4.1.6.2.3. Upgraded struts / Coil overs

4.1.6.2.4. Sway bars

4.1.6.2.5. Bushes

4.1.6.2.6. Linkages

Changes to the vehicle that are outside these guidelines will be discussed with the technical committee for approval.

4.1.7. Fueling and Fluids

Fueling of cars should be done in proper areas, with adequate measures for safety, and from approved containers. Fire extinguishers shall be present and in a readily accessible location during any refueling from containers.

4.1.7.1. Pump fuel and race fuel is allowed

4.1.7.2. Fuel additives are allowed

4.1.7.3. Ethanol fueled cars are allowed

4.1.7.4. Water methanol injection kits are allowed

4.1.7.5. No methanol fueled cars will be allowed

Refueling of vehicles will be allowed in designated areas and/or conditions that will be disclosed in the event documentation

 4.1.8. Other

Modifications that are not covered by the subsequent sections on the vehicle that substitutes an OEM part will result in the vehicle being approved by the technical committee that includes but is not limited to

4.1.8.1. Fuel cells

4.1.8.2. Relocated suspension points

4.1.8.3. Lexan/Polycarbonate windows.

4.1.8.3.1. Perspex as a window material is prohibited under all conditions.   

 4.2. Numbers & decals

Numbers and sponsor decals

Race numbers and sponsor decals will be given 1 (one) set of decals for the event.

Decals must be displayed in the appropriate manor – see picture bellow.

Stickers may be applied to magnets and then be place on the vehicle.

Failure to display the provided decals/correct number and/or modifying the decals in any way without the consent of the committee (i.e., cutting out the race number) will result in the following outcome

4.2.1.Driver will not be allowed to compete at the event

This will be enforced before the day starts

 4.3. Safety

4.3.1. Driver Dress code

Each participant will receive a driver’s dress code via email and/or message

The bellow dress code is a guideline but not limited to the list bellow

4.3.1.1. All drivers and passengers are required to wear a helmet at all times on circuit

4.3.1.2. Long pants only, no shorts on track

4.3.1.3. Convertible cars long sleeve tops/jackets only

4.3.1.4. Racing suits are highly encouraged on track for street cars

4.3.1.5. Race cars may only be allowed on track with a Race Suit

4.3.1.6. Shoes must be closed-toe. No sandals

4.3.1.7. No tank tops

4.3.2. Passengers are allowed in participants’ cars

4.3.2.1. Passengers must follow the given drivers dress code

4.3.2.2. Must be medically fit to do so

4.3.2.3. Indemnity forms are completed

4.3.2.4. This is a privilege, not a right, and can be revoked

4.3.2.5. Passengers are allowed in cars at the determination of the Vilaca Racing staff. Please know as a driver of a car with a passenger that you are taking on a great responsibility. Safety of both occupants of a vehicle is of utmost importance

4.3.3. Minimum OEM safety belts are compulsory. Four or Five-point harnesses with a HANS device/neck brace are strongly recommended for all classes and compulsory for Race Cars

4.3.4. Fire Extinguishers

4.3.4.1. The size of the fire extinguisher must be more than 1.5kg and be securely fastened by means of a steel bracket and a minimum of 2 x M5 bolts (cable ties, duct tape and Velcro will not be passed) 

4.3.4.2. The correct fire extinguisher must be fitted to the car (fire extinguisher class B, C, BC or ABC)

4.3.4.3. Fire extinguishers are strongly recommended for all classes and compulsory in the following circumstances

4.3.4.3.1. Race Cars

4.3.4.3.2. Ethanol fueled cars

4.3.4.3.3. Water methanol injection kit fueled cars 

5. TRANSPONDERS, TIME KEEPER, TIMIING

5.1. Transponders

5.1.1. Transponders will be handed out by the official time keeper in the morning of the event before drivers briefing.

5.1.2. Transponders are to be fitted to the vehicle inside or outside as shown in the graphic bellow

5.1.3. The transponder remains the responsibility of the participant for the duration of the event. Any damage incurred caused by an accident or the transponder falling off the vehicle is for the participant’s account.

5.2. Time keeper

5.2.1. The time keeper is not to be interrupted during the event

5.2.2. The time keeper is not permitted to disclose any event unofficial results during the course of the event.

5.3. Timing

5.3.1. Only lap times that are recorded by a transponder will count towards the days results

5.3.2. Only in a special circumstance will manual timing be accepted such as but not limited to;

5.3.2.1. Timing beacon is damaged

5.3.2.2. Interference with the timing line

5.3.2.3. Transponder battery failure

5.3.2.4. Shortage of replacement transponders

6. Sporting regulations:

The following descriptions and procedures govern the Vilaca Racing Ultimate Car & Driver Challenge. Participants are expected to follow these rules and the intent of these rules. They may be penalized for not doing so.

Participants are reminded that there are many unwritten best practices focused on safety that would be impractical to commit to the written rulebook. If an official or track employee asks you to do something in the name of rules and you believe it is in error – do not argue with that person. Bring it to the attention of the Race Director or Event Lead for a solution.

 6.1. All drivers must have an understanding of the following:

6.1.1. Flags. General flag rules will be observed. Flag rules will be gone over in the race group drivers meeting at the start of the event. Track Flags which may vary per facility, will be covered at drivers meeting

6.1.2. Pay attention to and follow the flags. Flags and their meanings will be demonstrated at the driver’s meetings

6.1.3. A firm “black flag” rule will be instituted at all Vilaca racing events. Dangerous driving such as regular off-track excursions, reckless driving leading to poor or out of control car control and/or creating dangerous conditions for other competitors will be monitored by the track officials and Vilaca Racing Committee. Offenders will be black flagged and have to be cleared before they can be allowed back on the track.

6.1.4. Follow the given dress code for the event

6.1.5. Driver and passenger arms and hands must remain inside the vehicle at all times

6.1.6. If a driver notices something is wrong with their car while on track, every effort should be made to pull off the track immediately, in a safe and predictable manner.

6.1.7. Any and all unsafe and reckless/out of control driving that is seen by participants is asked to be reported Vilaca Racing staff.

6.1.8. Track Rules

The track rules are subject to change without notice and may differ from track to track. These changes to the track will only be made if necessary for the safety of the drivers and/or spectators.

6.1.8.1. No burnouts / spinning / drifting allowed

6.1.8.2. Pit lane / pit parking lot speed is a walking pace

6.1.8.3. No excessive revving allowed

6.1.8.4. No open fires allowed

6.1.9. Contact on track is deemed unacceptable. All cars participating in the event must be driven in such a manner that they do not make contact other cars on track.

6.1.10. Contact with walls or barriers or other cars will result in the driver being parked for the remainder of the day unless the car has been passed by the tech inspector and is safe to do so. These events cannot continue without the safe driving of the participants being the highest priority for all involved

6.1.11. Contact in any detrimental way to the walls, barriers, tyre walls, or other structures of the racetrack or paddock that cause damage deemed to need repair (by the track management), may result in the driver or owner of the car causing the damage to be billed for repairs.

6.1.12. Stopping on track. Coming to a complete stop on track is prohibited if at all possible. A full-stop vehicle will automatically result in a red flag situation for all cars in the area of the stopped vehicle or on the entire racetrack. If a car needs to stop on track, please stop in a safe location not on a blind spot or a corner exit, and drivers may only exit the vehicle if given the permission of the marshal. It is strongly advised not to stop any vehicle on tall, dry grasses, as fire and inevitable vehicle damage will likely occur. If the vehicle is on fire, the driver may exit as soon as possible.

7. Protest / Complaints / objections

7.1. The right to protest

7.1.1. The right to protest lies solely with any participant or official who may consider himself/herself rightfully aggrieved by any decision, act or omission of an organizer, official, competitor or driver.

7.2. Lodging a protest

7.2.1. A protest to be considered by the committee, can be lodged directly with the Official Time Keeper or the Clerk of the Course

7.2.2. Every protest shall be in writing, stating the name and address of the protestor, the grounds for the protest, be signed by the competitor making the protest,

7.3. Time limit for protest

7.3.1. All protests must be lodged by the end of the final session of the day or 30min prior to prize giving. After this time has lapsed no protest will be considered.

7.4. All protests be accompanied by a fee of R500.00 to the Vilaca Racing associated charity either by means of an EFT or cash payment – non-refundable regardless of the outcome.

7.5. Action by the committee on receipt of a protest.

7.5.1. They shall consider all protests as urgent. They shall take steps as soon as possible to convene a hearing.

7.5.2. Once a hearing has taken place the committee decision is final and cannot be appealed or overturned.

 

8. Group / Session allocation for each event

8.1. Under no circumstance will a competitor be allowed on circuit in another allocated group. Unless instructed by the event organizer. This includes but not limited to:

8.1.1.1. Arriving to the event late

8.1.1.2. Arriving late to tech inspection

8.1.1.3. Missing your allocated group

8.1.4. Being held up in your allocated group

8.1.1.5. Taking passengers on circuit

8.1.1.6. Car problems

8.1.2. Only allocated session times will stand for the day results

8.1.3. If you are caught or attempting to go out in the incorrect group your fastest session for the day will be non-void.

8.1.4. Should the above offence be conducted twice – the result will be a disqualification for the days results.

8.2. Impeding competitors

In the event of “Driver A” impeding “Driver B”, intentionally or unintentionally on “Driver A’s” cool down lap/out lap/preparation lap – “Driver A’s” fastest lap time will be deleted for the day – this will be revived by the committee and only video evidence will be verified for the offence.

8.3. Overtaking on track – as stated in drivers briefing

8.3.1. Where overtaking is allowed

8.3.1.1 Overtaking must be done safely on the straights and not in the corners and/or otherwise stated in the drivers briefing

8.3.1.2. In the event that an overtake is deemed unsafe or dangerous – the impeding competitor will have his/hers fastest lap time deleted for the day – this will be reviewed by the committee and only video evidence will be verified for the offence.

8.3.2. Where overtaking is not allowed

8.3.2.1. Should a competitor overtake on track when stated in the drivers briefing it is not allowed the competitors fastest lap time for the day will be non-void.

8.3.2.2. Should the above offence be repeated for a second time, the competitor will be disqualified from the days results and no points will be awarded. The competitor will also not be allowed on circuit for the remainder of the day.

8.3.2.3. Exclusions for 7.12.2.1 & 2 is only applicable if the car being passed on circuit is stationary on the circuit.

 

9. Tech Inspection

Vilaca Racing does not make any representations as to the safety or mechanical condition of the vehicle. The responsibility of ensuring that the vehicle is safe and in proper mechanical condition to participate in the Event falls exclusively upon the Participant and his/her mechanic.

9.1. On-site tech inspection is REQUIRED, Vilaca Racing recommends all participants have a qualified mechanic inspect their car prior to the event, however, tech inspection will still be required for all cars (excluding instructors and staff) before the event. Failure to go through tech will result in forfeiting track time.

9.2. Vilaca Racing staff will go through regular tech inspection. Each participant must present a signed and completed inspection form, and will receive their run group sticker on a successful inspection

9.3. Participants shall bring their car to tech as it will be driven on track. This includes the tires and pads they will use on track.

9.4. All loose items should be out of the car, and helmet and any device that will be secured to the car during the event should be present and installed (camera mounts, etc). Participants must demonstrate that any device that will be attached to the car (inside or out) is secured properly. Any device secured to the outside of the car should also be checked by track staff prior to each session. Floor mats that are not pinned in must be removed, and glove boxes and storage areas must be emptied. If an item isn’t tied down, it should not be in the car.

9.5. If a participant knowingly has an issue with a car before or during the event, please inform the inspector as soon as possible. The participant should not continue to go out on track with any known issue. Doing so may result in a loss of track privileges, as well as potential lost track time for their run group due to track clean-up. Tracks can and will require drivers to pay for track damage. This includes, but is not limited to: fluid clean up on the track surface, damage to the barriers, and damage to the track facility. If participants are found to be knowingly tracking a car with a potentially dangerous issue, they will be asked to fix the issue before being allowed on track.

Tech inspection description

 9.6. Lights

Functional brake lights (at least one easy to spot light at rear of car) must be on all cars and functional at all times or a car may be black flagged. Working headlights are mandatory for all cars during races occurring after dark. Any number of additional headlights may be used provided they are not deemed to be excessive or a hazard to other drivers. In night events, one headlight and one brake must be functioning at all times.

9.7. Fuel Tanks

Fuel tanks must be either OEM quality or better if using a factory style tank. Factory tanks are only permitted on cars where the tank is located behind the driver and in front of the rear wheels. Aftermarket fuel “cells” are allowed and encouraged, if properly installed and mounted. All structures holding the cell must be attached completely and entirely to the shell of the car and/or roll cage structure. Any cell deemed inadequate for competition will result in the car being denied entry. If participants have any questions on the legality or safety of a car’s fuel cell and system. All fuel lines must be isolated from the driver with either a metal bulkhead or shielding, and must be isolated from any sharp edges on sheet metal, etc.

9.8. Harnesses

All cars with roll bars or roll cages shall use 4 point-or-greater harnesses. Harnesses must be correctly installed, and all mounting points to sheet metal shall be adequately backed by large plates on opposite side of sheet metal.

 9.9. Roll Cages

9.9.1. Roll cages must be quality, professional-level, and fully welded around all joints to be allowed on track. Roll cages are encouraged for all cars.

9.9.2. Bolt-in cages or roll bars must be professional quality, and must use adequate size spreader plates and backing plates on the underside of the car.

9.9.3. ‘Show cages’ are not allowed

9.10. Helmet inspection

Participant acknowledges that the inspection of Participant’s helmet by the organizers is for the sole purpose of determining whether the Participant’s helmet has met the minimum standards for usage

From a visual inspection to contain the appropriate Snell rating sticker or label and to be capable of meeting those standards at the present time.

Participant acknowledges that the organizers make no guarantee of fitness for use in “passing” Participant’s helmet, and that Participant is relying solely on Participant’s own judgment in using the helmet in the Event.

Participant indemnifies, acquits and forever discharges Vilaca Racing from any and all liability, claims, demands, or causes of action that arise from my wearing the inspected helmet, from Participant’s attendance at the Event, or from any injury sustained by Participant, regardless of their negligence.

Participant is over the age of 18 years, the Participant understands that he/she is participating in a dangerous activity, and that Participant’s helmet has not previously been worn in a collision, dropped, or struck by a hard object. Participant further acknowledges that the above conditions also apply to any helmet that Participant may borrow, and that Participant alone is responsible for Participant’s decision to wear a borrowed helmet

 9.11. Below is a basic list of issues that should be addressed prior to going to tech, or going on track. Please check for these issues throughout the event and correct them if they appear on a vehicle:

  • Corded tires, or tires rubbing on suspension arms/fenders
  • Loose lug nuts
  • Brake lights not working
  • Excessive play in the brake or clutch pedal
  • Play in the steering wheel
  • Loose bolts – please torque ALL bolts to spec before going through tech
  • Warped or cracked rotors
  • Fluid leaks of any kind (windshield washer fluid, oil, coolant, brake fluid, power steering fluid)
  • Hoses that can rub on sheet metal, causing damage or cuts in the hoses.
  • Brake pad thickness less than the recommended minimum thickness
  • Loose body panels/wings
  • Loose objects in the car
  • Low oil pressure, high coolant/water temperature
  • Frayed seat belts
  • Battery not tied down properly. TIE DOWNS MUST BE OEM OR BETTER QUALITY. Rubber or ratchet straps are not acceptable.
  • Exposed wiring, or wiring that can potentially rub on sheet metal in a damaging way to the wiring. General wiring, especially under hood, must be neat and secure in layout.
  • Lack of exhaust – You must have an exhaust, or at minimum, a b-pipe with a turn down. Excessively loud vehicles can and will be refused track-time. If you think your car is excessively loud, it very well might be. Please correct this with the use of a muffler or resonator.

 10. Tech inspection failure

10.1. If any changes are required as a result of a tech inspection, participants must complete an additional inspection to ensure the changes are compliant. The inspector will be able to discuss why a car failed and may be able to give some recommendations on how to best address the issue.

10.2. Participants should ensure that they bring adequate tools. This is recommended for any track event, and will help ensure that they maximize track time. If a car cannot pass tech, it will not be allowed to drive on track. Complying with the safety rules and ensuring a car is in good mechanical condition will ensure that it will pass tech.

10.3. This is a firm rule, with no exceptions. Participants should go over every inch of their car prior to the event, and check all systems, bolts, and have quality and fresh fluids in their car. The responsibility of ensuring that the vehicle is safe and in proper mechanical condition to participate in the event falls exclusively upon the driver.

11. Media release

Participant understands that Vilaca Racing collects, records, publishes, posts, transmits, and displays audio/visual “media” (images, recordings, videos, and other media).

With this understanding, Participant gives permission for media of Participant, to be collected, recorded (on film or otherwise), published, posted, displayed and transmitted by Vilaca Racing for any purpose. Participant hereby voluntarily releases and hold harmless Vilaca Racing, its directors, employees, land owners, and agents acting officially or otherwise, from all manner of suits, actions, claims, demands, and liabilities which may arise from such media participation. This release applies to any and all media known, and hereafter devised, in perpetuity throughout the universe. Participant understands that all media remains the property of Vilaca Racing, and waives all rights to original media, copies of media, royalties, entitlements, payments, or any other compensation or quid pro benefits which might arise from Vilaca Racing’s acquisition, storage, display, publication, posting, or distribution of media of Participant as described herein.

Participant understands that this document constitutes a full and complete waiver of all possible claims of any nature whatsoever, including claims of negligence, personal injury or property loss, or damage, arising out of said media participation

12. Emergency medical treatment permission

Participant understands that on occasions an emergency requiring medical treatment can develop. Participant hereby consents to receive medical treatment that may be deemed advisable and/or necessary in the event of injury, accident, and/or illness during the Event.

Participant understands and acknowledges that any/all medical treatment is for his/her own account.

13. Acknowledgement

Participant hereby warrants that Participant has read this Agreement carefully, understand its terms and conditions, acknowledge that Participant will be giving up substantial legal rights by signing it, and intends for Participant signature to serve as confirmation of Participant’s complete and unconditional acceptance of the terms, conditions and provisions of this Agreement. This Agreement represents the complete understanding between Participant and the Event Organizers regarding these issues and no oral representations, statements or inducements have been made apart from this Agreement. If any portion of this Agreement is held to be unenforceable, invalid or overly broad, Participant agrees that the remaining terms and provisions of this Agreement will continue in full legal force and effect. Participant further understands and agrees to abide by the Rules and Regulations attached, which is incorporated herein by this reference.

IN WITNESS WHEREOF, Vilaca Racing and Participant have executed this Agreement:

 14. Release of liability

Participant, hereby releases Vilaca Racing, which includes the Event organizers, officials, officers, employees, agents, driving instructors, assigns, sponsors, participants, car owners, spectators, and all other persons from any and all liability to Participant or to Participant’s personal representatives, heirs, next of kin and assigns, for any and all loss or damage on account of any injury to Participant’s person or property or resulting in death arising out of or in any way related to Participant’s presence at the Event.

This Agreement expressly indemnifies Vilaca Racing from injuries and damages which are caused by Vilaca Racing’s negligence, whether active, passive, ordinary or gross, or otherwise. In the event that Participant permits any other person to drive Participant’s vehicle during the Event, Participant hereby indemnifies Vilaca Racing from any and all injuries and damages which are caused by negligence, whether active, passive, ordinary or gross, or otherwise of said driver. Participant further agrees to indemnify and hold harmless Vilaca Racing from any and all claims, demands or liability in breach or violation of the terms of this Agreement.

15. Vilaca Racing UCD Rules

The Vilaca Racing Committee shall be the authority for control over all racing competitions within the Vilaca Racing Series. This rulebook has been established by the Race Committee and shall be referred to in all decisions.

This rulebook may be revised at any time; updates to the rules will be indicated with strike lines for removed wording, and red font for adding wording, such as this. All rule changes will be considered effective immediately unless otherwise noted. Certain events may include supplemental regulations which supersede rules contained here. The Vilaca Racing rulebook will be referred to in situations that may not be otherwise covered in this rulebook or any other supplemental regulations. All rules within this book, and any supplemental regulations, should be interpreted with logic and “spirit of intent.” Any input from a participant will be considered, but the ruling of the Race Committee of the event will be considered final. The Race Committee will only stop on-track operations for weather related reasons.
